How to setup an email signature

Creating an email signature in Outlook is a straightforward process. Here’s a step-by-step guide to help you set it up:

  1. Open Outlook: Start by launching the Outlook application on your Windows device.
  2. New Email: Click on ‘New Email’ to open a new message window.
  3. Message Tab: In the new message window, go to the ‘Message’ tab on the ribbon.
  4. Signature Options: Click on ‘Signature’, then select ‘Signatures…’ from the dropdown menu.
  5. Email Account: In the ‘E-mail account’ list, choose the email account for which you want to create the signature.
  6. New Signature: Under the ‘Select signature to edit’ section, click ‘New’. Then, type a name for your new signature.
  7. Edit Signature: In the ‘Edit Signature’ box, type the text you want to include in your signature. You can format your signature with different fonts, sizes, colours, and styles. It is recommended to create your signature in the outlook new mail window or in Word and then copy and past it into this window. Be careful to ensure that the signature you are copying is as per company branding guidelines. 
  8. Add Images or Links: If you want to add images, such as a logo or social media icons, or links, you can do so using the options in the signature editor. You can paste these images into the Edit Signature box as you would in any other application by pressing ctrl+v after you have copied it to your clipboard. 
  9. Save: Once you’re satisfied with your signature, click ‘Save’.
  10. Set Default Signatures: Decide if you want your signature to appear automatically in new messages and replies/forwards. Set your preferences in the ‘Choose default signature’ section.
  11. Finish: Click ‘OK’ to finish and close the signatures window.

Your new signature will now be available to use in your Outlook emails. You can manually add it to any email by clicking on ‘Signature’ in the message window and selecting the one you want to use1.
